Overview
We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office, providing administrative support, and serving as the first point of contact for clients and visitors. The ideal candidate will possess excellent organisational skills, a friendly disposition, and a strong ability to manage multiple tasks efficiently.
Responsibilities
- Greet and assist clients and visitors in a courteous manner.
- Manage incoming phone calls with proper phone etiquette, directing calls as necessary.
- Perform data entry tasks accurately and efficiently.
- Maintain organised filing systems for both physical and digital documents.
- Provide clerical support such as typing correspondence, reports, and other documents.
- Utilise Google Suite and other office software to prepare presentations and manage schedules.
- Assist with bookkeeping tasks using QuickBooks when required.
- Coordinate meetings, appointments, and travel arrangements for staff members.
- Ensure the reception area is tidy and welcoming at all times.
Requirements
- Proficiency in using Google Suite and Microsoft Office applications.
- Familiarity with QuickBooks is advantageous but not essential.
- Strong organisational skills with an ability to prioritise tasks effectively.
- Excellent verbal and written communication skills.
- Demonstrated experience in administrative roles or similar positions is preferred.
- Ability to work independently as well as part of a team.
- Attention to detail with strong data entry capabilities.
- A professional demeanour with a friendly attitude towards clients and colleagues alike.
