Overview

As a Project Support Coordinator, you will be instrumental in delivering administrative, financial, and operational support across a diverse range of real estate and facilities projects. This role is pivotal in ensuring that projects are executed efficiently, within budget, and in alignment with client expectations and Pareto FM's standards.

Key Responsibilities

Project Administration & Coordination

  • Serve as the primary liaison for project-related inquiries, ensuring timely and professional responses.
  • Coordinate project documentation, including proposals, contracts, and reports.
  • Maintain and update project schedules, tracking milestones and deliverables.

Financial Management

  • Assist in the preparation and monitoring of project budgets.
  • Process invoices, purchase orders, and financial documents.
  • Collaborate with finance to reconcile project accounts.

Vendor & Stakeholder Engagement

  • Coordinate with vendors and subcontractors.
  • Organise and participate in project meetings.
  • Prepare agendas, take minutes, and follow up on action items.

Compliance & Quality Assurance

  • Ensure compliance with health and safety regulations.
  • Maintain project records, including risk assessments and quality checks.

Reporting & Continuous Improvement

  • Generate regular project status reports.
  • Identify opportunities to enhance project processes.

Qualifications & Skills

  • Experience in project coordination or administrative support in real estate or facilities management.
  • Strong organisational skills.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with project management tools.
  • Excellent communication skills.
  • Ability to work collaboratively and adapt to change.
