Reports to:
Operations Manager
Main Objectives:
To provide comprehensive administrative and logistical support across project delivery, ensuring the accurate processing of data, timely production of reports, and effective coordination with internal teams, laboratories and suppliers. This role plays a key part in maintaining project efficiency, compliance and documentation accuracy.
Key Accountabilities:
- Process raw site and lab data into reports in line with internal standards and client expectations
- Liaise with laboratories to request and track specific project reports or negotiate turnaround times
- Produce site-specific Risk Assessments and Method Statements (RAMS) based on the client's scope of works
- Liaise with suppliers to arrange delivery and collection of materials and equipment
- Coordinate with other departments to support internal resource reallocation as required
- Maintain maintenance and inspection logs for equipment and schedule sub-contractors where necessary
- Support general administrative tasks such as documentation, filing, inbox management and scheduling

Person Specification:
Experience and Qualifications
- Education:
Minimum GCSEs (or equivalent) in English and Mathematics. Further qualifications in Business Administration or a related field desirable.
- Professional Accreditation:
Not required, though training or certification in health and safety or administrative management is advantageous.
- Experience:
Minimum of 2 years in an administrative, coordination or office support role. Experience in a technical, construction or field services environment preferred.
- Technical Proficiency:
Experience with report formatting, document control and MS Office Suite is essential.

Analytical and Organisational Skills:
- Strong attention to detail in producing accurate reports and documentation
- Ability to manage multiple tasks, deadlines and shifting priorities
- Proactive approach to tracking records and identifying gaps
Communication Skills:
- Clear and professional communication with internal departments, clients, laboratories and suppliers
- Confidence in following up on outstanding actions or requesting updates
Coordination and Logistics:
- Organised in planning and coordinating equipment, materials and subcontractors
- Able to liaise across teams to ensure resource needs are met efficiently
IT Proficiency:
- Proficient in Microsoft Office Suite, especially Excel, Outlook and Word
- Experience with AutoCAD, document management systems desirable
