Summary
As a Project and Office Administrator, you will be essential in supporting the Engineering Team to enable the Project Managers and Project Engineers to carry out their roles as efficiently as possible by providing document control and administration support where required. The Project and Office Administrator is responsible for HSE as delegated by the General Manager. The Project and Office Administrator is jointly responsible for the QAQC of Deepwater EU. The Project and Office Administrator is responsible for organising and coordinating office operations and procedures to ensure organisational effectiveness and efficiency.
Specific Duties
- Assist with project administration on all projects as delegated by the project manager and team to include:
- Document control activities,
- Project co-ordination,
- Diary management,
- Logistics & travelling,
- Requesting quotations, placing and progressing purchase orders,
- Shipping documentation,
- Meeting scheduling and minutes,
- Project accounts administration / reports,
- Managing and maintaining purchase order book.
- Manage HSE (with assistance from external HSE provider) which includes:
- Risk Assessments (writing and review)
- HSE Policies and procedures
- HSE audits
- Staff HSE training
- Intelex system
- Customer HSE/QA questionnaires
- HSE reporting
- Legal compliance
- Shared responsibility for QAQC function which includes:
- QA documentation, policies and procedures
- Internal / External audits
- NCR / CIA / CAR management
- Management Review
- QA reporting
- Supplier Approval
- Managing Equipment Calibration
- General office tasks:
- Being the primary person to answer the telephone,
- Welcoming visitors to site, ensuring rooms are ready to receive clients at any time,
- Organising visitor refreshments,
- Updating and issuing telephone lists,
- Ordering stationary / kitchen / office supplies,
- Assist with the running of facilities, including the maintenance of the building.
- Occasional PA work for the General Manager
- Other office administration as required.
Requirements:
A-level or equivalent, or related work experience.
Demonstrable experience in an HSE role
Demonstrable experience in QA/QC
Demonstratable experience in project administration
HSE qualification IOSH Managing Safely (desirable)
Applicable QA qualification (desirable)
