Internal Opportunity Practice Operations Administrator
Location: Welby Practice
Hours: Ideally full-time, but open to 30 hours per week
Working pattern: Monday to Friday between 08:0018:30
Are you organised, adaptable and proactive, with a genuine passion for supporting healthcare operations? If so, we have an exciting internal opportunity for you to join our team as a Practice Operations Administrator.
This is a key role supporting our Practice Manager, Karen, in the smooth day-to-day running of Welby Practice. Youll be the reliable right-hand support she can count on someone ready to get stuck in and make a difference behind the scenes and on the front desk.
While reception duties will form the core part of your role, youll also assist with secretarial and summarising work during periods of leave or sickness. Were looking for an all-rounder who is confident juggling a wide variety of tasks and thrives on contributing to the bigger picture.
Core Responsibilities
Provide friendly and professional front-line reception support handling patient queries, booking appointments and managing phone lines.
Support the Practice Manager with day-to-day admin tasks to keep the practice running efficiently.
Assist with rota and clinic planning, ensuring smooth operational flow.
Prepare internal communications including notices and newsletters.
Respond to emails and patient feedback promptly and helpfully.
Support with recruitment, onboarding, and training of new staff.
Provide secretarial and summarising support when required.
Order supplies and monitor stock levels.
Support the organisation of meetings and practice events.
Assist with monthly payroll tasks and ensure H&S compliance.
Manage IT access including smartcards, NHSmail, SystmOne, AMGP, Windows logins and phone lines for new starters and leavers.
Deliver SystmOne training (toolbars, user groups, prescribing settings).
Set up locum clinics and ensure WEBV and SystmOne access is in place.
Support QOF and recall management, updating patient records and tracking performance.

Essential:
Strong organisation and multitasking skills
A team player who can also work independently
Good IT skills, especially Microsoft Office
Discretion and professionalism in handling confidential matters
Empathetic communication and a can-do attitude
Ability to flex to the needs of the business
Desirable:
Previous experience in healthcare or general practice admin
Familiarity with SystmOne or EMIS
Understanding of NHS or healthcare regulatory frameworks
