Job Title: Administrative Support for Busy General Office

Job Description:

We are seeking an administrative support professional to join our busy general office team. The ideal candidate should be organized, detail-oriented, and capable of handling a range of office tasks. While previous office experience is preferred, we are willing to provide training for the right candidate. Effective communication skills in English are essential, as this role involves interacting with colleagues and clients. Additionally, you will be responsible for reception/front desk duties, including our Van Rental desk.

Key Responsibilities:

1. Answering Phones: Manage incoming calls, take messages, and direct calls to the appropriate person.

2. Filing: Maintain organized and efficient filing systems for documents and records.

3. Computer Skills: Proficient use of Microsoft Excel and Word for various office tasks.

4. Email Correspondence: Respond to emails professionally and promptly, as well as sending quotations and other correspondence.

5. Reception/Front Desk Duties: Greet visitors, assist with check-ins, and provide information as needed. Handle inquiries and direct clients to the appropriate department.

6. Payment Processing: Collect and process credit card payments accurately.

7. Quotation Preparation: Prepare quotations for the Director and assist with any related tasks.

8. General Office Duties: Assist with various administrative tasks to ensure the smooth operation of the office.

9. Overtime: Be willing to work Saturday mornings (8:00 AM to 12:00 PM) one Saturday per month after completing training.

Qualifications:

- Previous office experience is preferred but not essential; training will be provided.

- Proficiency in Microsoft Excel and Word.

- Excellent communication skills in English, both written and verbal.

- Strong organizational skills and attention to detail.

- Ability to multitask and work efficiently in a fast-paced environment.

- Willingness to perform reception/front desk duties, including the Van Rental desk.

- Availability to work Monday to Friday (8:00 AM to 5:15 PM). We will also consider part time hours, please specifiy on your application form.
