About the Role

The Medical Relationship Administrator will provide dedicated administrative and coordination support to the Medical Relationship Partner, with a focus on ensuring the smooth onboarding of new Members. This role is key in upholding Loveday’s standards of excellence and supports the delivery of a seamless, compliant, and high-quality move-in experience for our Members and their families.

Key Responsibilities

  • 1. New Member Administration
  • Prepare and manage new Member documentation, including membership agreements, arrange care assessments, medical summaries, and consent forms.
  • Track completion of all paperwork and ensure timely updates to internal systems.
  • Liaise with external healthcare professionals (GPs, consultants, hospitals) to obtain necessary medical records.
  • 2. Move-In Coordination
  • Support the Relationship Partner in coordinating the move in process.
  • Maintain accurate checklists and timelines for each new Member.
  • Assist with the scheduling of assessments, welcome calls, and internal readiness meetings.
  • 3. CRM & Records Management
  • Ensure all information is accurately logged and updated in Salesforce.
  • Maintain secure and compliant records in line with GDPR and internal policies.
  • Support the generation of reports or data as required.
  • 4. Stakeholder Communication
  • Communicate professionally with families, next of kin, and healthcare professionals to collect required documentation or provide updates.
  • Handle sensitive information with discretion and a high level of confidentiality.
  • 5. Team & Operational Support
  • Prepare materials for tours, assessments, and internal meetings.
  • Assist with post-move-in follow-ups and support internal audits as required.
  • Provide general administrative assistance to the wider Membership & Relationships team as needed.

Eligibility

In line with the requirements of the Asylum & Immigration Act 1996, all applicants must either be eligible to live and work in the UK or must obtain permits to work in the UK prior to application. Documented evidence of eligibility will be required from candidates as part of the recruitment process.
