Job title: Head Office Receptionist
Location: Ludgate Hill, London
Salary: £28,000-£32,000 DOE
Your new role
Here at Hitachi Rail we have a fantastic opportunity for a professional, friendly, and highly organised Head Office Receptionist to be the first point of contact for visitors and staff. This role is pivotal in ensuring a welcoming and secure environment while supporting the smooth day-to-day operations of the site.
As the Head Office Receptionist you will work across a wide range of duties, including Front of house, Security & site access, along with general office support and related Health & Safety responsibilities.
Some role responsibilities include:
- Front of House, including meeting & greeting guests, management of the visitor booking system, answering reception telephones and ensuring all digital displays are working.
- Security and Site Access such as daily administration of the Access control system, Managing the visitor access cards plus reviewing Starter/Leaver forms and action when necessary.
- Meeting Room Management including daily administration of Cloudbooking system, first line support for any AV equipment issues and assisting staff with meeting room bookings (Checking In, Queries)
- Health & Safety responsibilities including assisting with emergency evacuations and First Aid situations, carrying out weekly H&S checks (on rotation with other team members) alongside assisting with the collating of documentation for ISO audits.
- Management of post and courier services.
- Office support such as first line support for all FM related staff queries, ordering lunches on request, supporting the running of the office lease equipment (Coffee Machines/Printers).
- Administrative duties including reconciliation of monthly departmental credit card bank statements, ordering stationery and catering consumables, raise PR’s and PO’s on SAP.
- General support where needed, including cover to Facilities team colleagues across other UK offices and locations.
About you
- Strong, prior reception experience in a corporate environment.
- Experience working with access control systems.
- Intermediate IT Skills (Outlook, Excel, Word, Power Point).
- Intermediate IT Skills (Outlook, Excel, Word, Power Point).
- Creating high level reports using Excel and Power Point.
- Good written and verbal communication skills.
- Proactive in anticipating office requirements.
- Ability to prioritise workload.
- Strong team player.
- Ability to interact effectively with all levels of personnel, both within and outside of the company.
Desirable
- Experience of office move and relocation work.
- Experience of Security processes and protocols.
- Experience working with SAP.
- Experience working with CAFM (Computer Aided Facilities Management) software.
- Fire Warden responsibilities (Training provided).
- First Aider responsibilities (Training provided).
