We are seeking a polished and personable Front of House Administrator to join our outstanding clinical team at our prestigious Harley Street location. You’ll be the first point of contact for our patients and visitors—setting the tone for an exceptional care experience from the moment they arrive.
Main Purpose of the Role
As Front of House Administrator, you’ll provide high-quality administrative and reception support to patients, consultants, and clinical teams. From managing bookings and taking payments to offering a warm welcome and concierge-style assistance, you’ll play a vital role in ensuring smooth day-to-day operations across the clinic.
Key Responsibilities
Reception and Patient Experience
- Greet and direct all patients and visitors with professionalism and warmth
- Manage patient arrivals, discharges, and scheduling using the clinic’s booking system
- Keep the reception area safe, clean and welcoming at all times
- Maintain the refreshment area and support general clinic tidiness
Administrative Duties
- Process bookings, cancellations and payments with accuracy and efficiency
- Ensure patient data and billing records are correctly entered and updated
- Transfer medical images and assist with documentation as needed
- Respond to queries by phone or email and escalate as appropriate
- Assist with filing, photocopying and post distribution
Customer Service & Communication
- Deliver an excellent customer experience at every touchpoint
- Liaise effectively with consultants, medical secretaries, and internal departments
- Handle complaints with a calm, empathetic and solution-focused approach
- Support patients through their journey, including escorting between departments
Compliance and Governance
- Follow data protection, infection control, and clinic protocols at all times
- Ensure safety and confidentiality at the front desk and across all admin procedures
- Record incidents or feedback to contribute to service improvement
Key Internal and External Relationships
Internal: Consultants, Nursing, Imaging, Admin, Finance, Executive and FOH Teams
External: Patients, visitors, third-party providers and external referrers
Person Specification
Essential Skills & Experience
- Prior experience in front-of-house, customer service, or healthcare administration
- Excellent interpersonal and communication skills, in person and on the phone
- Strong attention to detail and ability to multitask under pressure
- Self-motivated and able to work independently or as part of a team
- A professional, approachable, and customer-focused mindset
- Working knowledge of data protection and confidentiality standards
Desirable
- Experience in a healthcare or clinical setting
- Familiarity with medical terminology or electronic patient record systems
- Experience handling payments and managing bookings
