As an Eden Project Apprentice you will spend on average 6 hours a week studying a taught element delivered by one of our partner training providers. Each month you will also take part in our Sustainable Enterprise programme which helps you develop a range of skills, from teamwork to communication, alongside fellow apprentices from a range of disciplines. There are also opportunities to gain experience working with a variety of other teams, to get a fuller understanding of how your department fits within the larger organisation and how your role contributes to our mission.

Job Family Definition
Roles within the Business Support job family are dedicated to optimising professional, technical and administrative services, which support the work of other job families in making Eden successful.
Role Purpose
To provide accurate and reliable administrative co-ordination and project management support to the Secretariat team and member(s) of the Executive Team, supporting the Governance/Administration requirements of the organisation as well as providing additional analytical support as required.
The apprenticeship will be focussed on developing business support foundations alongside completing a Level 3 Apprenticeship in Business Administration.
Key Accountabilities
1. Provides general administrative support including assistance with collation of project documents, copy typing, proof reading final documents, document presentation, developing and maintaining filing systems, photocopy and email. Ensures that all paperwork that demands adherence to time limits (such as Board papers) is completed in a timely basis, multitasking proficiently when required.,
2. Facilitates the team in making meeting arrangements, setting up conference calls, taking meeting minutes and creating action logs (where appropriate) and multitasking proficiently when required.
3. Generates work of a high standard contributing to and maintaining Eden Project’s image both internally to its staff and externally to its clients, contacts, partners and suppliers appropriate to the level of the function.
4. Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
5. Assists the Secretariat Team with the preparation of key (often confidential) documentation (e.g. Board Reports).
6. Supports the Secretariat and Executive Team with coordinating travel booking arrangements (in support of the Executive Support function) and associated logistics as required, when they are attending workshops and meetings with project stakeholders or partners.
7. Liaises with potential clients and visiting groups attending workshops or training and co-ordinate visit logistics.
8. Maintains a constant, professional approach when answering the telephone and self-presentation and acts as a positive ambassador for the Eden Project. Establishes and maintains excellent communication channels at all levels enabling the free-flow of all relevant information to be transmitted promptly.
9. Arranges Project files and documents on the IT network with logic and clarity for easy access for members of the Secretariat Team. Abides by the Company’s IT Policies and Procedures.
Demands of the Role
Education and Qualifications
Educated to GCSE Level, A-C Grades (or equivalent) with excellent literacy and numeracy skills. Qualification in a related field at NVQ level 2 is desired, preferably with business administration at this level. During the apprenticeship, the role holder will complete a Level 3 qualification in Business Administration,
Knowledge and Skills
Role holder will have a minimum of 1 year administrative experience ideally working in a similar department. Excellent IT Literacy skills including an advance knowledge of Microsoft packages (Word, Excel, PowerPoint, Outlook).
Decision Making
Organises and prioritises own work within established procedures, referring complex issues to Line Managers. Reports daily to line manager. Decisions may require confidentiality and networking with organisation to develop the right outcome.
Resourcefulness
Excellent attention to detail and accuracy, the role will largely work within defined parameters, however at times may require adaptive thinking. Reactive problem solving will be a feature of this role with the level of operation and types of queries/projects handled.
People and Asset Management
No team responsibility. No budget responsibility. Responsibility for the security of shared systems and some confidential project information.
Will be exposed to highly confidential information so discretion is essential
Communication and Visitor Experience
Good communication skills are a key feature of this role. The role holder will be able to communicate effectively to team members at all levels, together with being able to host and support prospective clients and guests as required. Approach and methods will need to be adapted to suit the appropriate audience. Regular confident interaction with the Executive Team, Board/Trust, external partners, sub-contractors and various stakeholders..
Operational Environment Office based role, with occasional visits to site.
