Job Description: Bid Administrator

Location: Kettering/Hybrid
Reports to: Bid Team Leader
Type: Full-time

About the Role:
We are seeking a highly organised and proactive Bid Administrator to support the bid and tender process across two dynamic companies — Russell Play and Wicksteed Leisure. You will be instrumental in managing pre-tender and post-award PQQs, maintaining bid documentation, and ensuring smooth coordination across teams to help secure new business opportunities.

Key Responsibilities:
  • Coordinate and complete pre-tender and post-award Pre-Qualification Questionnaires (PQQs) for both companies.
  • Organise, manage, and maintain bid and tender files, ensuring all documentation is up-to-date and compliant.
  • Liaise with internal teams across Russell Play and Wicksteed Leisure to gather required information and documentation.
  • Support the bid team in preparing and submitting timely, accurate, and professional bid responses.
  • Maintain a clear and efficient filing system for all tender and contract documentation.
  • Monitor deadlines and ensure timely submission of all bid-related paperwork.
  • Assist in post-award contract documentation and compliance monitoring.
  • Support continuous improvement of bid processes and templates.
Skills and Experience:
  • Proven experience in a bid administration or similar role, ideally in construction, leisure, or manufacturing sectors.
  • Strong organisational skills with excellent attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable working with document management systems.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and work under pressure to meet deadlines.
  • Self-motivated and able to work independently as well as part of a team.
  • Experience working across multiple companies or departments is a plus.
Why Join Us?
Join two well-established companies with a rich heritage in leisure and play equipment. You’ll play a key role in supporting growth through effective bid management, working in a collaborative environment that values your contribution.
