Celebrating SEND in Early Years. Yeovil Opportunity Group is a unique charity-run pre-school providing early intervention strategies to children who need additional support on their learning and development journey, as well as supporting their families along the way.
Our ethos is based on working in partnership with parents, carers and multi agency professionals in the incredibly critical early stages of the SEND journey, with our children moving into both mainstream and specialist education.
Term time only, we would like to recruit an Administrator. We are a small charity, but we have a great reputation for supporting children and their families with SEND.
Our ideal candidate will enjoy working in a busy environment, have excellant IT skills, be sociable and have an eye for detail. A self-starter who enjoys a challenge and perhaps already has a background in SEND.
Employment will be subject to applicants undertaking an enhanced DBS check as well as receiving satisfactory references.
Duties:
- To maintain administrative and central records of the children, their parents and any confidential factors relevant to the child or family and to ensure that such information remains confidential and is accessible to those who legitimately require it.
- To maintain all of the statutory central records required by Ofsted.
- To provide timely information to parents or guardians of all matters affecting them or their child’s attendance at the Group, including open days, special outings, events, presentations, holidays, etc.
- To provide administrative support for the recruitment and vetting of staff and volunteers.
- To maintain an up-to-date and accessible register of staff, volunteers and students and visitors.
- To ensure that all communications by post, electronic means and telephone are dealt with or passed on to the relevant person.
- To ensure all administrative filing is fit for purpose, in line with GDPR and regulations relating to Early Years requirements
- To order and pay for new equipment for the Group when authorised by the CEO
- To act as the focal point for all administrative matters regarding the Group.
- To actively participate in the safeguarding of the children attending the Group.
- To assist with the daily routine of the Group when not carrying out specific administrative tasks or when so required.
- To assist with promoting knowledge and understanding of Special Needs and the role of the Opportunity Group, its aims and achievements, within the local community and with other interested parties.
- To undertake training as required.
- To deliver all services in a non-discriminatory manner
Experience and skills
- Must have at least 3 years’ experience in a clerical, administrative or secretarial role
- Excellent IT skills in word, social media, Facebook, Instagram, Excel, and Publisher (or similar).
- Used to working in a high-pressure environment
- Incredibly organised and able to self-manage
- Strong communicator
- Calm under pressure
11 hours per week, term time, with 5 additional days spread across the year, outside term time. Wednesday, Thursday, 9.30 am – 1.00pm, Friday 8.30 am – 12.30 pm
