The Role:
An Administrative Assistant in a residential care home plays a key role in supporting the smooth operation of the facility by managing a wide range of administrative and clerical tasks. This includes handling reception duties, answering calls, welcoming visitors, and responding to inquiries from families and external professionals. The role involves maintaining accurate and confidential resident records, assisting with staff scheduling, and helping to ensure the home meets regulatory requirements through organised documentation and compliance support. The administrative assistant also coordinates communication between care staff, healthcare providers, and families, while managing office supplies and general administrative duties such as filing, data entry, and minute-taking. In addition, the role includes acting as a personal assistant to the Service Lead, supporting diary management, preparing reports, organizing meetings, and handling confidential correspondence. This position requires strong organisational and communication skills, a compassionate and respectful approach to working with residents and their families, and a solid understanding of confidentiality and data protection.
The Successful Applicant:
The Successful Applicant would be highly organised, detail-oriented, and able to manage multiple tasks efficiently in a fast-paced care environment. The Successful Applicant would have excellent communication and interpersonal skills, enabling them to interact sensitively with residents, families, healthcare professionals, and staff. Prior experience in an administrative role—ideally within a healthcare, care home, or similar regulated setting—would be advantageous, alongside a solid understanding of confidentiality, safeguarding, and data protection requirements (e.g., GDPR).
The successful applicant would be proficient in using office software such as Microsoft Word, Excel, Outlook, and care management systems, and be comfortable managing documentation, scheduling, and correspondence independently. As a key support to the Service Lead, they would demonstrate discretion, reliability, and the ability to handle confidential information with integrity. Compassion, patience, and a calm, professional manner would be essential, as would the ability to adapt to the changing needs of a care environment.
The ideal candidate would also bring initiative, a problem-solving mindset, and a willingness to be a team player, supporting both administrative functions and the broader mission of providing quality care to residents.
