We are seeking a highly motivated and organised Administrative Assistant to join our dynamic team. Responsibilities
- Perform data entry tasks accurately and in a timely manner.
- Manage and maintain office documents using Google Suite and other software applications.
- Provide administrative support, including scheduling appointments, managing calendars, and organising meetings.
- Handle phone calls with professionalism, demonstrating excellent phone etiquette.
- Assist with bookkeeping tasks using , ensuring financial records are up to date.
- Maintain an organised filing system for both physical and electronic documents.
- Collaborate with team members to streamline office processes and improve efficiency.
- Support various clerical duties as required, contributing to the smooth operation of the office.
Qualifications
- Proven experience in an administrative role or similar position.
- Proficient in using Google Suite and Microsoft Office applications.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills.
- Familiarity with is advantageous but not essential.
- Ability to type accurately at a reasonable speed.
- Strong attention to detail and a commitment to maintaining high standards of work.
- A proactive attitude towards problem-solving and improving processes.
- To carry out Individual Needs Assessments for new and potential clients
- To conduct risk assessments as part of the Individual Needs Assessment and update these as required as part of the individual’s risk management
- To ensure all client live-in placements are always covered, (call-out is not required)
- To be on-call in case of emergency
- To liaise closely with Care Coordinators regarding recruitment, permanent allocation of Care Assistants and the writing of Care & Support Agreements
- To identify suitable Care Assistants to cover for any absences such as to sickness or holiday
- To facilitate the practical induction of all new Care Assistants
- To provide and facilitate in-field training as and when appropriate
- To identify any additional training needs of Care Assistants and report accordingly
- To conduct client reviews and respond to Individual Review Forms completed by Care Assistants as soon as possible
- To urgently report any changes in a Care Assistants or client’s schedule to the Care Coordinator
