Hours: Monday to Friday from 8:30am to 5:30pm, hybrid working available once probation has been passed successfully.
Contract: Fixed Term Maternity Cover Contract for 12 months - a permanent position may be considered in the future, however we cannot guarantee at this stage.

Job Summary and Key Responsibilities:
To provide a remote administrative support system to the branch network working closely with the branch teams and the different departments at head office to ensure compliance and accuracy. To also assist with the maintenance and running of head office.
Duties will include:
- To monitor the sales and lettings BC hub inboxes and Reapit tasks and generate and send out emails as necessary (pre instructions, Instruction, Price Reviews, off markets, Offer Notified, Offer rejected, Memos, exchanges)
- To send out agency agreements and links for ID checks and to carry out ownership checks to ensure compliance with AML legislation.
- To book photos, floorplans and EPCs and follow up to ensure appointments are booked in
- To check all relevant and compliance documentation is in place for any new instructions and to chase accordingly.
- To send out instruction emails and T&Cs (lettings) and links for ID checks and check for compliance certificates and chase where necessary
- To check fee, instruction date, manager, branch and any other relevant information is correct on Reapit.
- To upload photos, floorplans and speed tours onto the property record.
- To check quality of Reapit data; quality of photographs, descriptions, bullet points (before properties commence marketing) (grammar, spelling etc.).
- To produce property brochures and window cards and order through premcom on instruction and on price reduction.
- To order boards via Xpress signs and update Reapit accordingly.
- To ensure all board management and process are upheld for example the removal of boards upon completion date whether it be sales or lettings.
- To check on missing EPC’s for all available properties and add from EPC register where possible.
- To manage all EPC orders for sales and lettings.
- To regularly check and chase any outstanding compliance.
- To produce and send out sales memorandums and ensure all compliance documents are obtained before being sent to Sales Progression when a sale is agreed.
- To generate invoices on exchange of sale and send to solicitor with exchange emails.
- To complete floorplans via Metropix on receipt of a scanned hand drawn floorplan from the branch.
- To create portal activity click rate reports weekly and send to vendors as a part of the weekly vendor management.
- To assist with the Sales and Lettings monthly market share report as needed.
- To check the marketing material that the branches have ordered before authorising.
- To update featured properties and ensure the branches are using these to their full potential.
- To manage all unsubscribes that come through applicants on the database.
- To regularly visit the branches to promote a one-team message, to deliver any key company messages teams and to offer any administrative support that cannot be offered remotely.
- To handle the incoming and outgoing post for Head office.
- To support the maintenance of head office eg Tesco order/dishwasher/coffee machine/Incoming and outgoing post/deliveries/stationery/meeting room bookings.
- To answer the ‘reception’ phone and direct the call as necessary.
- To monitor, promote and help maintain standards (office environment, personal presentation, company car, communication, behaviour)
- To follow an awareness and carry a shared responsibility for health and safety and the managing of risks
- To carry out any other tasks or projects as deemed appropriate within the main purpose of the role
Skills required:
- Strong written and verbal communication, including strong listening skills with the ability to be empathetic and/or assertive when required; to remain appropriate, accurate and in line with company expectations at all times.
- Structured and organised, able to manage complex and fluid workloads, re-prioritising where required and effectively utilising software to capture updates
