We are looking for a Theatre Production Assistant to take up a key role in our theatre team, including house southeast touring network. The Theatre Production Assistant will play a vital part in the smooth running and delivery of productions and projects both at Farnham Maltings and touring. Role summary:
The purpose of this role is to provide support to the effective management and delivery of theatre projects and productions produced by Farnham Malting, including house southeast theatre network.
The role will work closely with producers, programmers and marketing personnel to support in many aspects of bringing productions and tours to life and to their audiences. They will support the development of future plans and assist in the internal coordination of the theatre team department.
As this role sits across both house and the wider Theatre team, we are envisioning an equal split of the Production Assistant’s time across both areas.
1. **Objectives and Responsibilities:
1.1 To support efficient and smooth production, co-ordination and administration of the theatre activities of Farnham Maltings, inclusive of Community Touring, In-house Productions and our house southeast theatre network touring scheme.
1.2 To manage the administration of house, work as a key member of the team to support touring, artist and audience engagement activities.
1.3 To support the collation of marketing and communications information for Farnham Maltings theatre producing activity.
2. **Duties:
2.1 To support efficient and smooth production, co-ordination and administration of the theatre activities of Farnham Maltings:
Support the theatre team’s Producers across touring, in-house productions, and targeted projects.
Support the smooth running of the theatre team’s day-to-day activities, including production scheduling, coordinating and minuting meetings, overseeing diaries, creating contact sheets, undertaking project research.
Organise and coordinate auditions, rehearsals and other theatre production administrative logistics as required by the theatre team’s producers.
Provide logistical and administrative support for various theatre team events, including festivals, networking and training events run by Farnham Maltings and across the year.
Research and keep key contacts and project information up to date whilst keeping abreast of current discourse in arts and cultural sector.
Support with the theatre team’s financial admin, including invoicing, updating budgets, and credit card management.
Support the team to evaluate shows and tours by sending surveys, monitoring feedback, and creating evaluation summaries, including ACE data and Culture Counts.
Be the first point of call for enquiries including answering phone calls, monitoring shared mailboxes and coordinating and tracking artist advice sessions where required.
Manage Farnham Maltings’ vehicles, arranging insurance and MOTs and holding the booking diary.
Develop new administrative systems, exploring opportunities for the theatre team to work more efficiently.
Support the presentation of theatre activity, attending events and productions both onsite and at alternative venues as agreed.
Manage and monitor Farnham Malting’s storage facility for productions.
Provide administrative support to the Executive Producer as required, assisting in the reporting and coordinating of across-organisation information for internal and external stakeholders.
2.2. To manage the administration of house, working as a key member of the team to support touring, artist & venue development and audience engagement activities.
Oversee and manage the settlements and invoicing processes across house tours and updating the house budget with programming income.
Manage and monitor the admin line within the house budget.
Collect, collate and circulate house touring sales figures with the team.
Update and monitor the activity planning and contracts tracker.
Manage and monitor data collection, and its analysis, across programming,
events and projects.
Supporting the Senior Producer to process invoices.
Supporting the Senior Producer with project support as needed, such as Pitch Up, festival visits, networking events, training and audience development research and activity.
Support house touring companies in gathering of carbon data on their tours, before collating and analysing in relation to our Environmental statement.
Collaborate with the house team on projects and initiatives to ensure they are delivered to the highest standard.
Lead on the coordination of professional development opportunities and events the house network membership.
Attend house network days, touring performances and festival trips as necessary.
Act as main point of contact/communications for external events e.g. Pitch Up, house Network Day.
2.3 To support the collation of marketing and communications information for Farnham Maltings theatre activity.
Compile and manage company biographies and, where appropriate, collate for production programmes.
Support the theatre team Producers in arranging special events, including compilation of guestlists, management of invitations and coordinating cards and gifts.
Collaborate with the marketing personnel to lead on the creation of schedules for production marketing content, its development and deliver, to support marketing campaigns.
