Job Description


We are seeking a detail-oriented and proactive Purchasing Assistant to support our hotel’s procurement, receiving, and stock control operations. This role ensures goods and services are ordered, received, and distributed in line with Sofitel brand standards, food safety regulations, and sustainability requirements. You will liaise with suppliers, coordinate with internal departments, and maintain meticulous records to keep our operations running seamlessly.

Key Responsibilities

Procurement & Supplier Coordination

  • Raise purchase orders via our procurement system (e.g., BirchStreet) based on departmental requisitions and budgets.

  • Liaise with suppliers regarding product details, pricing, delivery schedules, and discrepancies.

  • Maintain accurate supplier records, price lists, and specifications.

  • Ensure suppliers meet quality, safety, and sustainability standards.

Receiving & Inspection (Daily, 6:00 am – 11:00 am)

  • Receive and check all deliveries at the hotel’s receiving bay.

  • Verify quantities, quality, and specifications against purchase orders and delivery notes.

  • Conduct temperature checks for chilled/frozen goods in line with HACCP standards.

  • Reject and record non-compliant goods, notifying the Purchasing Manager immediately.

Requisition Fulfilment (Monday, Wednesday & Friday)

  • Prepare and issue stock to Food & Beverage outlets based on approved requisitions.

  • Verify quantities issued and update inventory records.

Stock Control & Reporting

  • Monitor and maintain stock levels across all storage areas.

  • Report items for reordering to the Purchasing Manager.

  • Follow FIFO procedures to minimise wastage.

  • Assist with month-end stock counts and variance checks.

Documentation & Compliance

  • Maintain accurate procurement documentation for Accounts Payable.

  • Record all received goods in the procurement system daily.

  • Keep temperature logs, hygiene checklists, and compliance records up to date.

Hygiene & Safety

  • Maintain cleanliness and organisation of receiving, storage, and distribution areas.

  • Adhere to Sofitel and legal standards for food safety, hygiene, and workplace safety.


Qualifications


What We’re Looking For

  • Previous experience in purchasing, receiving, or inventory control (hospitality experience preferred).

  • Strong organisational skills and attention to detail.

  • Ability to work independently and meet deadlines.

  • Basic knowledge of HACCP and food safety standards.

  • Proficiency in Microsoft Office; experience with BirchStreet or similar systems a plus.

  • Reliable, punctual, and able to work early morning shifts.

  • Entitled to work in the UK as this role is not eligible for sponsorship.
