Job Summary:
In the role of Operations Assistant, you will form part of the wider operational team, providing timely and efficient support to the College’s student and staff body, to ensure the College always provides an exceptional student experience.
Key Responsibilities:
- Day to day support to the facilities team in maintaining a safe and high-quality campus environment for the College community.
- Weekly classroom and event space reconfiguration, that includes moving furniture into storage areas or into new layouts, and handling of moveable wall partitioning.
- Coordinating with our contractors across various campuses (Manchester, Derby, etc.) to ensure the work is up-to-date
- Travelling to our various campuses to evaluate the work that needs immediate attention and proactively facilitating to it
- Support the delivery of current projects by monitoring, reporting and following up project actions; maintaining project documentation; and producing project minutes ad reports.
- Develop and maintain a document management system in a coordinated and systematic way to ensure all processes are upto date
Qualifications:
· Educated to degree (or equivalent standard) and/or proven experience at a similar level
· Proven experience in higher education in a customer focused role building and developing relationships within a multicultural environment
· Experience working in a large, complex organisation and building relationships to achieve work goals
· Awareness of and sensitivity to cultural diversity
· Respect for confidentiality, including the integrity and sensitivity of records
· Experience of using CRM systems
· Excellent customer service, communication, and interpersonal skills
· Excellent time management skills and the ability to manage concurrent deadlines and competing priorities, and complete projects on time
· Ability to work independently, problem solve, and deal with unforeseen problems and circumstances
· Demonstrable initiative and enthusiasm, and the ability to work collaboratively as part of a team
· Ability to prioritise and manage a heavy and diverse workload with multiple deadlines
· Ability to build and sustain successful working relationships with internal and external stakeholders
· Good IT skills: MS Office (Word, Excel, PowerPoint), email (Outlook) and the ability to learn and use other CRM software packages
· Ability to achieve a high output and work to high standards, taking pride in producing quality work
· Flexibility and a capacity to adapt to the changing demands of the job and the needs of the team
