Location: Europe Region
We are looking for an Occupancy Planner to join our Occupancy Planning and Management team in the Europe Region. In this role, you will analyze campus-level space availability, workplace conditions, and headcount projections by local business unit. You will be responsible for tracking, analyzing, and updating space data to develop scenario and occupancy plans for our client's portfolio in a designated region.
Essential Functions
- Serve as the point of contact for site and campus level customer space requests and planning questions as per Region specific process
- Supply key site data for housing initiatives: Including attendance metrics, utilization rates, space type ratio gaps per the client’s established toolkit of standards, projected RSM (using client space calculator), most/least used spaces, site perception, pinch points, and review of meeting/huddle room locations and ratios.
- Attend meetings for major renovation projects, small projects, and project moves
- Contribute to strategic planning with team members to resolve campus/building-specific forecasts and issues
- Accountable for the development of migration plans and sequencing of group-level relocations
- Participate in understanding preliminary program requirements for departments and buildings
- Accountable for the development of stacking diagrams by location, building, and floor
- Understand and apply Hybrid work and Design for Attendance principles to solutions
- Lead utilization studies using sensors, manual observations, and badge swipe data
- Present JLL Occupancy Planning Benchmarking and share Industry Occupancy Planning trends
- Knowledge of JLL and Industry Occupancy Planning technologies
- Understanding of AI and how to apply it to the occupancy planning processes
Data Management and Reporting
- Provide updates on occupancy data, housing projects and Occupancy Planning initiatives for various client facing reports and or presentations include but not limited to: monthly REB reports, quarterly PIF memory jogger, Spotlights, Quarterly Site Books and auto pilot calls per Region specific process
- Facilitate and participate in quarterly capacity and population audits for all sites within the region
- Accountable to ensure site capacity, population, seat assignments and floorplans are accurate and reflected accurately in FMS/SPACE
- Report current supply, capacity, and three-year inventory forecast per Region specific process
- Measure and report cost saving and value-added contributions
Relationships
- Foster critical relationships to effectively collaborate and communicate with Client's Workplace Strategy Team, Real Estate Board, Real Estate Cluster Leads, HR, Department Leads and Contacts, External Design Partners and JLL One Team (Occupancy Planners, REPM, Site Contacts, PDS, FM, TM, BI Team and CRM)
Education, Experience and Skills
- 3-6 years experience in facilities, space planning, occupancy management, or CAD/CAFM related roles
- Bachelor's Degree in Architecture, Real Estate, Interior Design, or related field preferred
- Familiarity with office utilization, office design principles and hybrid work trends
- Attention to detail and spatial creativity
- Strong data storytelling abilities
- Advanced Excel skills (pivot tables, formulas) and PowerPoint proficiency
- AutoCAD and FMS proficiency are desirable
