The job holder will be responsible for the effective provision of a comprehensive secretarial and administrative service to a clinical specialty team. Responsible for the provision of a range of secretarial and administrative duties related to patient pathway management, including processing of referrals, audio transcription and word processing of clinical letters, production of reports, inpatient bookings and other correspondence as required by the medical team and telephone cover as and when required. The post holder will also be responsible for providing cross cover to colleagues which at times will include processing of referrals, monitoring 18 wk RTT, monitoring and actioning of waiting lists, booking appointments both outpatients and inpatients and cashing up clinics, rescheduling clinics, monitoring fast track referrals and clinics.
To act as the focal point of contact and be responsible for the dissemination of information, messages and enquiries for the medical team, liaising with multi-disciplinary team members, other health professionals and staff within and outside of BTHFT.
The job holder will have extensive involvement with Clinicians and Service Managers across the Trust to ensure that patients are treated in accordance with the Trust’s policy and procedures
Providing secretarial/administrative support relating to a specialty team, including referral management diary upkeep, typing, filing, scanning, photocopying, opening and distributing mail as appropriate, ordering stationery supplies and inpatient booking.
Receive and manage telephone and personal enquiries, which may be of a sensitive nature, in a constructive and sympathetic manner, referring to the appropriate person where necessary and rerouting these calls when required.
Responsible for the management of patients within the Specialty in accordance with the Trust’s Access Policy and other National/Local targets ie. Cancer, RTT, non-applicable, planning of in-patient waiting lists.
Cover secretarial colleagues during periods of sickness, annual leave or training which may include full secretarial cover and management of own workload when necessary for substantial periods of time throughout the year. Prioritising workload, working on own initiative as far as possible and ensuring work is carried out in specific timescales, meeting both Trust and Government deadlines.
Assist in the compilation and distribution of theatre operating lists, through consultation with Consultant Surgeons/waiting list co-ordinators and pre-assessment department.
