We’re looking for a dedicated and organised Hire Controller to join our team at JP Rentals, based at our Edinburgh Depot. In this varied and fast-paced role, you’ll be a key player in ensuring the smooth delivery of our JP vehicle rentals services, helping to keep our fleet moving and our customers satisfied.
You’ll be the friendly first point of contact for customers, provide essential support to our operations and workshop teams, and help coordinate every stage of the hire process, from booking and breakdowns to off-hires and invoicing.
How This Role Supports the Delivery of Hire Solutions:
As a Hire Controller, you’ll ensure our hire vehicles and equipment are where they need to be, when they need to be there, ready to support a wide range of customer projects. Your coordination skills and attention to detail will help drive efficiency, customer satisfaction, and commercial success. Key Responsibilities include:
Customer Service & Communication
- Act as the first point of contact for customer enquiries (phone, email, in-person)
- Deliver friendly, professional service and timely issue resolution
- Support front desk/reception duties and escalate issues when needed
Operational Support & Depot Coordination
- Assist the Depot and Rentals Managers with daily rentals operations
- Liaise with workshop, transport, and other depots to coordinate smooth vehicle movement
- Provide admin support to the workshop and contribute to depot efficiency
Breakdown & Fleet Management
- Coordinate breakdown response with internal teams and suppliers
- Schedule MOTs, servicing, and preventative maintenance
- Manage damage reports, repairs, and associated invoicing
- Monitor fleet utilisation and support efficient asset management
Hire Process & Documentation
- Prepare accurate hire paperwork (contracts, POs, delivery/collection notes)
- Log off-hires and cancellations, process returns and suspensions
- Maintain up-to-date records for all hire and service activity
- Support new account setup and verify transport/product availability
Systems & Compliance
- Use InspHire to manage hire fleet and process transactions
- Log and manage customer interactions via HubSpot CRM
- Ensure full compliance with company policies, safety regulations, and GDP

- Experience in a hire desk, rental coordination, or customer service role (preferred)
- Strong communication and organisational skills
- A proactive, problem-solving mindset with a focus on solutions
- Confidence using digital systems, including CRM and hire management platforms
- The ability to manage multiple priorities and stay calm under pressure
- Solid IT skills, especially in Microsoft Teams, Word, and Excel
- A positive attitude and a desire to grow your knowledge of fleet operations and the hire industry
