The Role
Based in our modern Swansea office, this full-time, permanent position offers a 37.5-hour working week (Monday–Friday, 9am–5pm). This role requires strong front-of-house skills ensuring every visitor, client, and team member receives a professional and welcoming experience.
You’ll work closely with legal and operations staff to deliver high-quality internal support and maintain our corporate image at reception.
Key Responsibilities
Client-Facing & Front of House Duties
- Serve as the first point of contact for clients and visitors, delivering a warm, professional welcome in person and over the phone
- Coordinate meeting room bookings, set up refreshments and ensure rooms are prepared to a high standard for client meetings and consultations
- Maintain the reception and shared office areas, including meeting rooms, communal areas and suppliers
- Liaise with senior stakeholders, partners, and external guests with tact, discretion, and efficiency.
Administrative Support
- ·Assist staff with day-to-day administrative tasks, including document handling, filing, scanning, and post
- Manage incoming calls and correspondence, directing queries promptly and professionally
- Handle routine office ordering and supply management with attention to cost-efficiency and consistency
- Coordinate and support with events, meetings, and client hospitality, ensuring every detail is meticulously executed.
Client Care & Compliance
- Support the team in maintaining accurate and up-to-date records and correspondence
- Liaise with external contacts (clients, suppliers, contractors) in a courteous and timely manner
- Ensure the office is compliant with health & safety requirements, including checklists and coordination with external contractors

- Confidence in a front-of-house role, acting as the face of the office and representing the firm with professionalism.
- Proficiency in Microsoft Office Suite and general comfort with IT systems.
- Team-oriented attitude, with a willingness to support others and take initiative.
- Discretion and reliability, especially when handling sensitive information.
- Flexibility to travel when required.
